Member Management Policies

Our Commitment to Best Practices

Our Member Management Policies are designed to ensure the safety, well-being, and success of every young person who walks through our doors. Our mission is committed to providing a safe, nurturing environment where children can grow, learn, and thrive, and our policies reflect that dedication.

Supervision and Safety

We take the supervision of our members very seriously. Our staff is trained to maintain proper adult-to-child ratios and to ensure that at least three individuals are present during member supervision. This creates an environment of transparency and accountability. During drop-in sessions, instructional programs, or even off-site trips, we maintain consistent oversight to safeguard our youth.

We also have a comprehensive Child Abuse Prevention & Response Policy, which strictly prohibits one-on-one interactions between adults and youth. This ensures all communication and activities occur within safe, observable spaces. In the rare case of emergencies, staff are trained to respond appropriately while maintaining the highest safety standards.

Staff and Member Relations

We expect all our employees to uphold the highest ethical standards when interacting with our members. Our policies outline clear boundaries to prevent inappropriate relationships or conduct, with strict guidelines for maintaining professional, supportive, and positive relationships with all members. This extends to our Staff-Member Relations Policy, which underscores the importance of mutual respect and proper boundaries inside and outside the Club environment.

Health and Wellness

Our commitment to a drug- and alcohol-free environment is firm. We enforce strict guidelines to ensure that neither staff nor volunteers use or are under the influence of substances at the Club or during working hours. Furthermore, our Facilities and Restrooms Policy outlines regular monitoring, cleaning, and supervision of restrooms to ensure a safe and clean environment for all members.

Transportation and Off-Site Safety

Our Transportation Policy ensures that members are only transported in Club-approved vehicles with trained staff. We provide detailed procedures for vehicle inspections, emergency management, and staff training to guarantee the highest safety standards. During off-campus activities, we adhere to strict restroom use and transportation guidelines, ensuring our members’ safety at all times.

Incident Reporting and Background Checks

Our staff and volunteers undergo rigorous background checks and are required to report any known or suspected incidents of child abuse or neglect. We maintain a policy of complete transparency and cooperation with local authorities and child protective services in the event of any serious incidents.

These policies demonstrate our deep commitment to the safety, well-being, and development of every child we serve. We continually strive to create an environment where our youth feel safe, supported, and empowered to achieve their fullest potential. Together, we can make a lasting difference in the lives of Henderson County’s children.
